A preservation survey and assessment and an itemized AV inventory are beneficial ways to review the physical state and content of older collections. These types of projects produce quantifiable data, allowing collecting institutions to establish preservation baselines and make arguments for greater aid and funding to support the needs of their collections. In September 2020, the University of North Texas Special Collections Department began their Audiovisual and Preservation Survey and Assessment (AVPSA) project utilizing the University of Illinois at Urbana-Champaign's Preservation Self-Assessment Program (PSAP). The team set out with the goals of assessing the quantity, scope, and physical state of audiovisual materials, performing a general survey of the department’s holdings, and examining the preservation needs of the collections. After the team completed the survey and assessment in May 2024, they recommended four projects to library administration, one of which was an item-level AV inventory which began in August 2024. Compiling data from both the AVPSA and the AV inventory, the team successfully advocated for the creation of its own AV preservation lab, allowing the department to fulfill donor and patron licensing requests in-house. This data collected from these two initiatives also helped the department prioritize larger high risk AV collections for vendor digitization.
